Getting Started
How do I create an account?
Download CashFlow from Google Play Store, open the app, and tap "Sign Up". You can create an account using your email or sign up quickly with your Google account. Verify your email to activate all features.
Is CashFlow free to use?
Yes! Core features like expense tracking, group management, and khata are completely free. We offer optional premium features for advanced users who need unlimited WhatsApp reminders, advanced analytics, and priority support.
Which platforms does CashFlow support?
CashFlow is currently available on Android via Google Play Store. iOS support is coming soon! You can also access your data through our web dashboard at cashflowapp.online.
Expense Tracking
How do I add an expense?
Tap the "+" button on the home screen, enter the amount, description, and category. You can add participants if it's a shared expense. The app automatically calculates how much each person owes.
Can I split expenses unequally?
Yes! When adding participants, tap "Split" and choose "Custom". You can split by exact amounts, percentages, or shares. Perfect for situations where people have different contributions.
How do I edit or delete an expense?
Tap on any expense to view details. From there, you can edit the amount, description, participants, or delete it entirely. Note: Editing shared expenses will notify all participants.
Groups
How do I create a group?
Go to the Groups tab and tap "Create Group". Give it a name (e.g., "Weekend Trip", "Roommates"), add members by phone number or email, and start tracking shared expenses. Each member can add expenses to the group.
Can non-users join my group?
Yes! You can add anyone by their phone number or email. They'll receive an invitation to join CashFlow. Until they sign up, you can still track expenses they're involved in.
How do I settle balances in a group?
CashFlow automatically calculates who owes whom. Tap "Settle" to see the optimal payment plan (minimizes number of transactions). When someone pays, mark the settlement as "Paid" to update everyone's balances.
Khata (Business Ledger)
What is Khata and who should use it?
Khata is a digital ledger for small businesses to track credit sales. Perfect for shopkeepers, vendors, and service providers who sell on credit. Record "udhar" (credit given) and payments received, and never forget who owes you money.
How do I add a khata entry?
Go to Khata tab → Add Entry. Enter customer name, amount, and whether it's "Credit Given" (they owe you) or "Payment Received" (they paid you). Add notes for item description or invoice number. Set due dates for credit entries.
Can I send payment reminders?
Yes! For any pending credit entry, tap "Send Reminder" to send a WhatsApp message to the customer. The message includes the amount owed, due date, and your business details. Professional and polite automated reminders.
WhatsApp Reminders
How do WhatsApp reminders work?
When someone owes you money (in groups or khata), you can send them a WhatsApp reminder with one tap. CashFlow sends a professional message with the amount, due date, and a link to view details. Recipients don't need to have CashFlow installed.
Are WhatsApp reminders free?
Free users get 10 WhatsApp reminders per month. Premium users get unlimited reminders. The service uses Twilio's verified WhatsApp Business API, so messages are delivered reliably and won't be marked as spam.
Can I customize reminder messages?
Yes! Premium users can customize reminder templates with their business name, logo, and personalized messages. You can save multiple templates for different situations (friendly reminder, urgent payment, etc.).
Security & Privacy
Is my financial data secure?
Yes. We use bank-level encryption (AES-256) to protect your data. All communications use HTTPS/TLS. We never store your bank account details or UPI PINs. Your expense data is encrypted both in transit and at rest. Learn more in our Privacy Policy.
Who can see my expenses?
Only you can see your personal expenses. For group expenses, only members of that specific group can view them. For khata entries, only you can see your ledger (customers don't have access to your full khata, only their own balance when you share it).
How do I delete my account and data?
Go to Settings → Account → Delete Account. This will permanently delete all your data within 30 days. Note: You cannot delete your account if you have unsettled group balances. Settle all payments first, or transfer ownership of your groups.
Troubleshooting
App is crashing or not loading
Try these steps: (1) Force close and reopen the app, (2) Check for updates in Play Store, (3) Clear app cache (Settings → Apps → CashFlow → Clear Cache), (4) Restart your device. If the issue persists, contact support with your device model and Android version.
I forgot my password
On the login screen, tap "Forgot Password?". Enter your email address, and we'll send you a password reset link. The link expires in 1 hour. If you don't receive the email, check your spam folder or try signing in with Google.
WhatsApp reminders are not being sent
Check: (1) Phone number is correct and includes country code, (2) You haven't exceeded your monthly reminder limit (check Settings → Usage), (3) The recipient has WhatsApp installed. If the issue continues, contact support.
